The Event Florist's Workflow: From First Enquiry to Event Day

When people think about running a floral business, they usually picture designing beautiful bouquets and floral installations, but the reality is that the flowers are only part of the job.

Behind every wedding is a huge amount of admin, the client enquiries, consultations, quoting, flower recipes, supplier orders, flower processing, production planning, payments, deliveries, and coordinating your team.

For years, I found myself jumping between spreadsheets, emails, notebooks, Word docs and my calendar, trying to keep everything organised. It worked… but it always felt like I was one forgotten task away from something slipping through the cracks. That’s one of the biggest reasons I created Blume.

I wanted one intentional workflow that could guide every event from the very first enquiry right through to event day.

1. Every enquiry starts somewhere

When a new enquiry comes in, everything is captured in one place.

Your client’s details, wedding date, venue, budget, flower recipes, quote, invoice, supplier information and team production notes all live within the event. From there, Blume automatically tracks where that booking sits in your workflow.

At a glance, you can see whether it’s a new enquiry, a quote waiting to be sent, a confirmed booking or an event that’s ready for production.

2. Creating the quote

This was the part of my business I used to dread. All the hours spent calculating flower costs, labour, materials, delivery, hire items and hoping I’d remembered to charge for everything.

Blume completely changed that. Flower recipes automatically calculate and mark-up your wholesale costs, labour, materials, hire items and desired profit margins, allowing you to create beautifully branded quotes in a fraction of the time.

3. Confirming the booking

Once your client is ready to move forward, they can review their quote, electronically sign their acceptance, and pay their deposit through one simple process.

Every approval is automatically recorded, and payments can be easily tracked, so you always know exactly where every booking stands.

4. Ordering your flowers

Once the quote has been accepted, there’s no need to start again.

Blume automatically creates supplier flower orders based on the flower recipes you’ve already built. Each variety, quantity, delivery or collection date is organised for you, removing hours of manual counting and reducing the chance of costly ordering mistakes.

Flower delivery and collection dates are automatically added to your dashboard, with notifications reminding you of upcoming orders. If you choose to connect Google Calendar, these dates are also synced automatically, so your entire schedule is visible in the calendar you already use every day.

5. Preparing your team

As event day gets closer, Blume generates detailed florist worksheets for your team.

Every arrangement, flower variety, material, hire item and production note is clearly laid out, so everyone knows exactly what they’re creating and what’s required to bring the floral vision to life. The result here, is a calmer studio, fewer questions, and a team that can work confidently and independently.

6. Event day

By the time the wedding day arrives, everything is well organised.

Your suppliers had the clear information they needed, and your flowers arrived when expected. Your team knew what materials and hire items needed to be prepared ahead of time, and they also know exactly what they are creating.
